Who this is for: Anyone in Canada who has booked a parcel, received a later “adjustment,” and wondered whether they were careless or the system is built this way.
Who this is not for: Shippers looking for a published rate card that will still be true on Friday.

ParcelHub is a Canadian multi-carrier parcel platform. Freightcom and other reseller platforms sit in the same industry: they sell you a carrier’s service, and the carrier still measures the box. Rates, fuel, and accessorials change by week and by account. This is not a price list, a customs opinion, or legal advice. Compare a live quote for the actual sealed carton before you buy a label.

Key takeaways

The number on a shipping quote is a conditional price. It assumes the weight, dimensions, service, and destination flags you entered are the ones the carrier will record. Billable weight is the greater of scale weight and dimensional (volumetric) weight. Fuel, residential, additional handling, large-package, peak, signature, and extended-area fees sit on top of the base. When the sealed carton does not match the quote ticket, the carrier adjusts the invoice — on every platform, including ours. Measure after taping. Compare all-in cost, not the pretty base rate.

A Markham brand tapes a 1.8 kg brace into a leftover 40 × 30 × 25 cm carton, prints an $11-looking label, and three weeks later the invoice says the shipment was 6 kg. Nobody stole six dollars. The box was full of air, the divisor did the math, and the quote was only ever as good as the measurements.

This article is the packing-bench version of that math. It covers billable weight, fuel, residential and extended-area flags, additional handling, peak and demand fees, and the adjustment emails that make founders distrust every platform they have ever used. The point is not to accuse a courier or a reseller. The point is to stop paying for air.

What does a “quoted rate” actually include?

A quoted parcel rate is the platform’s best price for the service you selected, using the origin, destination, weight, and dimensions you typed, at that moment, for that account.

It usually includes the base transportation charge. It often includes a fuel surcharge estimated at that day’s published percentage. It may include a residential flag if the destination postal code looks residential. It does not include a correction for a box you have not taped yet. It does not include a peak surcharge announced after you book. It does not include an additional-handling fee the driver will assess because the second-longest side is 31 inches.

Think of the quote as a contract with inputs. Change the inputs — even by a centimetre of bulge — and the contract reprices. Reseller platforms in Canada, Freightcom included, pass those carrier corrections through. That is not a secret fee the platform invented. It is the carrier’s tariff doing what the tariff says.

If you want the quote and the invoice to match, the work happens before you print: weigh the sealed object, measure the smallest imaginary box that contains it, pick the service whose rules punish that object least, and keep a photo if the goods are worth a claim.

Compare the live rates for that carton on ParcelHub before you argue with last month’s invoice.

How is billable weight calculated in Canada?

Billable weight is the greater of actual (scale) weight and dimensional weight. Dimensional weight, also called volumetric weight or Canada Post’s “volumetric equivalent,” converts the box’s cubic size into a weight using a divisor the carrier publishes for that service.

Formula, metric:

Dimensional weight (kg) = (Length × Width × Height in centimetres) ÷ divisor

Formula, imperial, used by UPS and FedEx on many services:

Dimensional weight (lb) = (Length × Width × Height in inches) ÷ divisor

Common 2026 divisors, which you should confirm on the live quote because carriers change them by service:

Carrier / service	Typical divisor	What that means for a light, bulky box
Canada Post Regular Parcel	6,000 cm³ per kg	Friendlier to bulky goods than the 5,000 services
Canada Post Priority, Xpresspost, Expedited, and most U.S./international parcel products	5,000 cm³ per kg	A box full of air gets expensive faster
UPS Canada, most ground and “all other packages”	5,000 cm³/kg or 139 in³/lb	Each side is commonly rounded up to the next inch before the math
FedEx Canada, standard parcel	5,000 cm³/kg or 139 in³/lb	Same rounding habit as UPS on many services
UPS air packages (where used)	4,100 cm³/kg or 115 in³/lb	Harsher. Air is priced as space.
Purolator	Often expressed as cubic feet × a factor (ground and air factors differ)	Confirm on the quote; do not memorize one number

Canada Post rounds volumetric weight up and applies minimum weight tiers on most services. UPS and FedEx commonly round each dimension up to the next whole inch before multiplying. A 12.1 × 10.1 × 6.1 inch carton becomes 13 × 11 × 7 in the formula. That rounding tax is real money at volume.

Measurement Canada treats dimensional weight as a billing practice, not a scale weight. The courier is allowed to charge on cube. Your job is to stop shipping cube you do not need.

Worked example: a 40 × 30 × 25 cm carton from Markham to Calgary

This example is illustrative. It is not a live quote. Rates change by day, account, fuel week, and residential flag. Do not treat the kilograms below as a price.

Origin: Markham, L3R. Destination: Calgary, T2P, residential. Product: a brace, a hoodie, a cushion, a vitamin kit — anything that weighs almost nothing and hates leftover cartons.

Sealed carton: 40 × 30 × 25 cm. Scale weight: 1.8 kg.

Volume = 40 × 30 × 25 = 30,000 cm³.

Volumetric equivalent at ÷ 5,000 = 6.0 kg billable.
Volumetric equivalent at ÷ 6,000 = 5.0 kg billable.

The 1.8 kg product just became a 5–6 kg shipment. The quote you typed as “2 kg” was fiction. The carrier will bill 5 or 6.

Now put the same product in a 32 × 24 × 12 cm rigid mailer or a right-sized carton.

Volume = 32 × 24 × 12 = 9,216 cm³.

VE at ÷ 5,000 = 1.84 kg.
VE at ÷ 6,000 = 1.54 kg.

Billable weight collapses back toward the scale. That is the entire game for light goods: stop buying air.

A second rounding example, imperial, same idea. A 12.2 × 10.4 × 8.1 inch box on a ÷139 service is not 12 × 10 × 8. It is 13 × 11 × 9 = 1,287 cubic inches ÷ 139 ≈ 9.3 lb, billed as 10 lb on many tariffs. The product inside can weigh 2 lb. You still pay 10.

If last quarter you shipped 2,000 “small” cartons that were actually leftover shippers from a supplier, this is where the margin went.

What fuel surcharges do to a Canadian parcel invoice

Fuel is not a surprise fee. It is a published percentage that moves, often weekly, and applies to the transportation charge.

Canada Post publishes a domestic fuel surcharge that is recalculated from a diesel index. For the week of August 31 to September 6, 2026, Canada Post listed the domestic parcel fuel surcharge at 40.00 percent, with lower percentages on U.S. and international parcel and packet products that week. That 40 percent figure will be wrong the week you ship. Check the current table on Canada Post’s fuel-surcharge page before you treat any screenshot as law.

Private couriers publish their own fuel tables. They are not the same number as Canada Post’s, and they do not move on the same day. A platform that quotes “all-in” should be applying the current week’s percentage. A platform that quotes a naked base rate is making the invoice look better than the bill.

Two practical rules:

When you compare two labels, compare them in the same hour. Fuel does not usually jump intra-day, but promotions, peak flags, and account rules do.
A 40 percent fuel line on a $20 base is $8. On a $12 base it is $4.80. Packaging that lowers billable weight lowers fuel too, because fuel is a percentage of the transportation charge.

Do not freeze “40 percent” into your Shopify shipping calculator as a constant. It moves.

Residential, extended area, signature, additional handling, and large package

These are the accessorials that turn a “cheap ground” label into an expensive ground label. They are carrier rules. Every reseller passes them through.

Residential

UPS, FedEx, and Purolator add a residential surcharge when the delivery address is a home, in published amounts that change with general rate increases and peak season. The 2026 rate guides we reviewed listed residential in a roughly $4.50 to $5.25 band for standard intra-Canada deliveries before peak adders — confirm the current tariff, because demand surcharges stack on top in Q4.

Canada Post does not add a separate residential surcharge the way those private couriers do. That is one reason Canada Post stays in the conversation for apartment and house deliveries even when a courier base rate looks close. It is not a reason to assume Canada Post is always cheapest to a house. Compare the live all-in number.

Extended area, beyond, remote, DAS

Private couriers charge extra to leave the dense network. Names vary: extended area, beyond point, remote, Delivery Area Surcharge. On some rural and Northern postal codes the adder is larger than the base. Canada Post’s public positioning is that it does not pile a comparable remote surcharge onto the same rural stop. For fly-in and true Northern lanes, Canada Post is often the only adult in the room. For “rural but on a highway,” still compare.

Signature and adult signature

A signature is a service, not a default. It adds a few dollars and it adds a failed-attempt loop if nobody is home. Use it for high-value or age-restricted goods. Do not apply it as a storewide rule because a theme copied it.

Additional handling

This is the fee that punishes shape. Public 2026 trigger patterns, which you must confirm against the current guide:

UPS Canada additional handling typically triggers when actual weight is over 50 lb / 22 kg, the longest side is over 48 in / 122 cm, the second-longest side is over 30 in / 76 cm, or length plus girth is over 105 in / 267 cm.
FedEx additional handling also watches cubic volume (public tables have used a 10,368 in³ trigger) and irregular packaging, including unboxed items and “fragile” stickers used as a handling instruction.
Canada Post publishes additional-handling and out-of-spec charges for parcels that break its packaging rules. Figures move with the tariff; look up the current Parcel Services customer guide rather than trusting a blog.

A bowed carton that measures 31 inches on the second side after taping is an additional-handling carton, even if the product inside is a folded shirt. Design the pack for the rule, not for the leftover box.

Large package, oversize, overmax, out-of-spec

These are the nuclear adders. Length plus girth above roughly 130 inches, a single side above 96 inches, or weight above the courier’s parcel cap can turn a “parcel” into a several-hundred-dollar event or kick it into LTL. Canada Post’s practical parcel ceiling is 30 kg. Purolator, UPS, and FedEx parcel products commonly top out near 68 kg / 150 lb, with girth caps around 165 inches depending on service.

If a single object is near those lines, get a parcel quote and an LTL quote on the same afternoon. Do not guess.

Peak and demand fees

Peak is a calendar, not a vibe. Private couriers publish extra handling, extra residential, surge, and large-package adders that typically open in late September or October and run into January. The amounts change every year. Freightcom and other platforms republish those tables; the underlying fees are still the courier’s.

Canada Post uses its own peak playbook. It is not identical. That is another reason a multi-carrier compare in November looks different than the same compare in April.

If you sell seasonally, do two things before October:

Right-size the mailer or carton now, while you can still buy packaging.
Build promised transit dates off the slower end of the band, not the homepage example.

A peak residential adder of a dollar or two is annoying. A peak additional-handling fee on a carton you could have collapsed by 4 cm is a process failure.

What is a shipping adjustment fee?

An adjustment is a post-shipment correction. The carrier weighs or measures the parcel in the network, finds a different billable weight or an accessorial you did not flag, and sends the platform a revised charge. The platform puts that charge on your invoice.

Common legitimate triggers:

You entered 1.8 kg; the sort-belt scale says 2.4 kg because the tape gun, insert, and mailer were not on the scale.
You entered 30 × 20 × 10 cm; the finished carton is 32 × 22 × 12 cm with a bowed flap.
The destination is residential and the quote assumed commercial.
Additional handling applies and nobody measured the second-longest side.
The contents or packaging are irregular: unboxed, metal-strapped, a “fragile” sticker used as a handling instruction.

Common misunderstandings:

“The platform invented a fee.” Usually it did not. It passed through a carrier correction.
“I was accurate, so the adjustment is fraud.” Accuracy means the sealed object, not the product. Also, sort-belt cubing machines are not perfect. Photograph the sealed parcel if you will fight a measurement.
“If I switch platforms, adjustments disappear.” They do not. A cleaner quote screen can reduce how often you under-declare. It cannot repeal DIM weight.

Reseller platforms across Canada, including Freightcom and ParcelHub, live with this mechanism. The operational difference is how early the screen shows billable weight, how easy it is to correct a label before pickup, and how painful the claims path is when the carrier’s measurement is actually wrong.

Prevention is cheaper than a ticket:

Weigh after tape.
Measure the bulge.
Put the longest side in the length field.
Look at billable weight on the quote, not just the dollar figure.
Photograph high-value sealed parcels.
Do not reuse a supplier’s oversized shipper.

A 15-minute shipping-cost audit you can run this afternoon

You do not need a consultant. You need ten boxes and a tape.

Pull the last 20 invoices, not the last 20 quotes. List every line that is not “base transportation.”
Circle every adjustment. If more than a fifth of parcels were adjusted, your process is the product.
Pick ten SKUs you ship every week. Pack each one the way the bench actually packs it. Seal them.
Weigh each sealed object. Measure length, width, height at the widest point, including bulge.
Compute dimensional weight at ÷5,000 and ÷6,000. Write both numbers on the box in marker.
Re-quote those ten parcels on your current platform and on a second parcel-first desk, same hour, same postal codes.
Compare all-in: base, fuel, residential, handling, ETA.
For any SKU where dimensional weight is more than twice scale weight, redesign the pack this week. Mailer, smaller carton, or a insert that does not inflate cube.
For any SKU near additional-handling triggers, change the geometry before you negotiate rates.
Keep the photo set. Next adjustment, you have evidence.

If the audit shows you are paying for air, fix packaging before you hunt a new contract. A better DIM profile on 4,000 cartons beats a slightly prettier base rate on a box of nothing.

ParcelHub’s live estimate tool is built for step 6. Enter the sealed measurements, not the product weight on the spec sheet.

Packing-bench rules that actually change the invoice

The invoice is a measurement of the sealed object, not the product.

Weigh after tape. A 1.6 kg garment in a 40 × 30 × 25 box is not a 1.6 kg shipment.
Measure the bulge. Couriers measure the smallest imaginary box that contains the parcel. Bowed flaps count.
Respect the round-up. 12.1 inches is 13 inches on many UPS and FedEx tickets.
Choose mailer versus carton on purpose. Soft goods, straps, braces, apparel: a poly mailer or rigid mailer usually beats a box. Fragile devices, liquids, glass: a box, then right-size that box to the product plus two or three centimetres of protection, not to the leftover carton in the storeroom.
Double-wall is for impact, not for ego. Extra board that adds 2 cm per side can trip additional handling.
Put the label on the largest face, flat, not on a seam, not under strapping. A reprint costs minutes. A no-scan costs a day.
Photograph the sealed parcel if the value is above your claim comfort.
Have a reprint-and-drop-off plan if the pickup is missed after 3 p.m.

Health-tech and consumer brands pay a second bill when the pack fails. A damaged brace or monitor is a return, a support ticket, and a lost reorder. That dwarfs a $5 residential surcharge. Freight handling (pallet, stretch wrap, dock plate) protects cube-stacked cartons. Parcel handling (slide, chute, belt, van) protects nothing you did not pack for. Design the pack for the network you booked.

If you already print packing slips and inserts, do it in the same operational relationship as the label. ParcelHub prints those in-house. Then get back to the tape gun.

Pallets have the same leak, with a different name

Reweigh, reclass, tailgate, residential freight, limited access, and appointment fees are the LTL version of a DIM adjustment. The carrier bills the handling unit it received, not the handling unit you described. Declare dock conditions on the quote. Photograph the built pallet from four sides plus the top. This is true on every freight platform, including the one you use today and the LTL mode ParcelHub is adding.

Do not put a single 22 kg carton on a skid because freight sounds cheaper. Run a parcel quote and an LTL quote on the same afternoon when both modes are live. Pick the lower landed cost including accessorials.

How this shows up on freight-first versus parcel-native platforms

A freight-first platform is built to quote pallets and parcels. That is useful on Wednesday when you have a skid. It is noisy on Monday when you have 80 cartons and you need billable weight in front of your face.

A parcel-native desk should make the DIM result visible before you pay. If your current tool hides billable weight behind a freight-class form, you will keep shipping air. That is a software design problem, not a motivation problem.

None of this is an argument that Freightcom invents adjustments. It is an argument that the screen you stare at at 4:20 p.m. should match the object in your hands. Cartons need billable weight. Pallets need density and dock flags. ParcelHub is adding the second object to the same desk. Until the live tool returns an LTL rate, keep your current freight account for skids.

Frequently asked questions

Why was my shipping invoice higher than the quote?

The carrier billed a different billable weight or an accessorial the quote did not include. Most often: dimensional weight, a residential flag, additional handling, fuel that was estimated, or measurements taken on the sealed carton instead of the numbers you typed. Reseller platforms pass those corrections through.

What is dimensional weight in Canada?

Dimensional weight is a billing weight derived from the parcel’s cube. Multiply length × width × height and divide by the carrier’s divisor. The carrier charges the greater of that figure and the scale weight. Canada Post calls it a volumetric equivalent. Regular Parcel commonly uses 6,000 cm³/kg; Xpresspost, Expedited, and Priority commonly use 5,000.

Does Canada Post charge a residential surcharge?

Canada Post does not add a separate residential surcharge the way UPS, FedEx, and Purolator do. That helps on house and apartment deliveries. It does not make Canada Post automatically cheapest. Compare the all-in quote.

Can I avoid adjustment fees?

You can reduce them. You cannot legislate them out of existence. Weigh and measure the sealed parcel, enter those numbers, watch billable weight on the quote, and photograph high-value boxes. Fight the adjustments that are truly wrong. Redesign the packs that are truly bulky.

Is fuel surcharge included in the rate I see online?

It depends on the screen. Some tools show an all-in number. Some show a base and add fuel at invoice. Canada Post’s domestic fuel percentage changes weekly — it was 40.00 percent for August 31 to September 6, 2026 — so any calculator that hard-codes fuel will drift.

Do multi-carrier platforms add their own hidden fees?

Treat every extra line as a question: is this a carrier tariff item, a platform markup, or an optional service you selected? Carrier items (DIM, fuel, residential, handling, peak) appear across platforms. Ask your platform to show the all-in number before you print. Do not accept “no hidden fees” as a sentence that repeals DIM weight.

Should I ship a bulky 2 kg item as LTL instead?

Almost never, if it is a single carton under courier limits. LTL is a pallet network with dock accessorials. Compare a right-sized parcel label first. If the object is near 30 kg, near girth caps, or you have several cartons going to one commercial dock, then get an LTL quote the same day and pick the lower landed cost.
